Notification templates are used to create the automatic emails which can be sent to Users and New Hires after an action is takenoccurred. System Administrators, Process Administrators, and Content Administrators can modify the templates by changing the subject and/or content of the email's message. Note that Content Administrators can only create or modify the content.  They need assistance from a System Administrator or Process Administrator to bring the modified content into use in the product.

Enter the information on the Manage Revision page, with Type being Content, then click on "Reserve".




Click on "Configure".




Click Under Content Metrics, click on "Add"  to create a new link for Notification Template.




Enter the information for fields 1 through 3.

Description
  • A description to help you identify the new Notification Template

Priority
  • Email interfaces that show important types of emails with an indicator will be affected by this
  • Choices are high, medium, and low priority

Sender
  • The sender in the from email address
  • 'System' indicates that the email is from the company's system email
  • 'User' indicates that the email is from the System Administrator
  • 'Organization' indicates that the email is from the Organization
  • 'Other' spawns a box for Email ID, where you can enter any email

Subject

  • The email's subject line

Content
  • What is in the email ; the message


Click on "Add/Edit Subject".

Enter the subject line and insert binds if desired. Place your cursor where you would like to add the bind, and click "Insert Binds".




Click on 'Look Up' and select the bind variable.




The Lookup binds page open as below. You can select the variable by expanding the tree structure or using "Search Binds" lookup.

In this case, "Description" field is used for searching the variable "First Name". Bind variable matching the search criteria are shown. Click the bind that you would like to include in the text.




Another option is to navigate through the tree structure to find the bind. Click on "Display as Tree" button to navigate back to the tree structure.




Search for the variable in the tree structure, and click on it.





Click on "OK".




The bind is inserted as shown below. When you click on 'Highlight Binds', you will see all the binds highlighted in yellow. Continue with any additional changes in the text and then click on "OK". This will add the subject on Notification Template page.




Click on "Add/Edit Content".

On the process Revision page, click on "Configure Events & Notifications".




The Events & Notifications page is displayed as below.

Note: The modified notification templates will have a suffix "[Revised]" in their description.




Click Click Save after you are done.

Click Return to Manage Revision.

The Smart Onboarding application supports configuring different invitation email notifications for the following attributes. 

Attributes:
Department
Location
Business Unit
Company
Job Code


Important Note: If you want to use this feature in your organization, please reach out to us to set this up. This setup can be done for invitation email notifications such as launch/relaunch/resend.

You can either create a new Notification Template or modify an existing one as per the requirement. If you need more details on creating/modifying Notification Templates, please click here.

Example 1:

Revised 'Self Registration details' notification to configure for Department

In Attribute Revision, select the Job Code attribute in Attribute Revision and click on Manage Revisions. Here 'Chief Operating Officer' Job Code is considered for configuring the notification.

In 'Revision Attributes' page, click on the lookup icon for 'Candidate Email NotificationID'.

In this case, "Department" attribute is selected. For Departments "Benefits" and "Payroll", let us configure different notification templates.

Click on Attribute ID for Benefits and select "Manage Attributes".

In Manage Attributes page, click on the lookup icon for Candidate Email NotificationID and select the notification template created for "Benefits" Department.

The notification template selected will populate on Manage Attributes page. Click on "Save".

Similarly, configure different email notification for Payroll Department. Click on Attribute ID for Payroll and select "Manage Attributes".

In Manage Attributes page, click on the lookup icon for Candidate Email NotificationID and select the notification template created for "Payroll" Department.

The notification template selected will populate on Manage Attributes page. Click on "Save".

On Attribute Revision page, click on "Return to Manage Revision" and apply Attribute Revision.

The changes will be effective after the Attribute Revision is applied.

Now, create New Hire invitations with "Benefits" and "Payroll" Departments and launch the invitations.
