What are Attribute Preferences?

The Attribute Preferences page allows users to control the attributes that are being used in the Smart Onboarding process. Users can customize the attributes depending on their preference. Some of the things they can do on Attribute preferences are activating and inactivating the attributes, changing the name of the attribute for your organization, selecting the attributes to control the Homepage category driven content and Row Level security, and controlling the display of address.

What are attributes?

Attributes are basic data elements in the Smart Onboarding system. The values of attributes are used to control access within the system, and can be shown on pages and in emails generated in the system.  You can also define your own attributes that can be used for these purposes.

Who can access Attribute Preferences?

System Administrators and Process Administrators can access Attribute Preferences.

How do you access Attribute Preferences?

Click the menu icon and select "Attribute Preferences" under Preferences.

How do you inactivate an attribute?

If you do not need an attribute that is provided, you can inactivate it in the Attribute Preferences. The attributes that are inactivated at the Organization level setup will not show up in the process level Attribute Preferences  and also in the invitation & CJD pages. These inactivated attribute will stay in the system, so you can activate it again when needed.

To open process level Attribute Preferences, click on "Configure Attribute Preferences" in the Process Revision page.




On this page, the active/inactive status of the attributes will be derived from the Organization level Attribute Preferences setup. This is applicable for all Process Revisions that are in progress as well as  new. 

For example: If a Process Revision is created when an attribute is inactive at the Organization level setup, it loads as inactive from the Organization level setup and not from any prior process level status even if the attribute was active in the prior Process Revision.

Note: In process level Attribute Preferences, if the "Invitation Field" property is unchecked for an attribute, then that attribute will not show up in runtime invitation page. Similarly, if "CJD Field" is unchecked for an attribute, then that attribute will not show up in runtime Complete Job Details (CJD) page.

To inactivate the attribute(s), uncheck the box under "Active" in Organization level Attribute Preferences and save.

In this example, the attributes that are inactivated are highlighted below.

After inactivation, the attributes that are inactivated will have "Inactive" status next to its label with checkboxes hidden for all the properties (Invitation Field, CJD Field, Required, Contextual Content Allowed).

To reactivate the attributes, check the "Active" checkbox in organization level Attribute Preferences and save.

After reactivation, the attributes will reappear in the process level Attribute Preferences with checkbox values (checked/unchecked) of the properties ((Invitation Field, CJD Field, Required, Contextual Content Allowed) same as how it were saved earlier.

How do you change the name of an attribute for your organization?

On the left side of the page, you can change the name of an attribute by entering the new text under Override Label and save.

As an example, the overridden label for the Business Unit is given as "Division".

What attributes can you use to control homepage category-driven content?

Homepage category-driven content allows you to select an attribute to specifically change the homepage content based on the value of that attribute. For example, if you want to show different photos on each company's homepage, you can do that using an Attribute Revision.

If you want to make homepage customization possible based on an attribute value, select the attribute in the Attributes Preferences page. If you do not want that customization, you can unselect the attribute.

The attributes that you can use to control the homepage category-driven content are:

  • Company
  • Business Unit
  • Department
  • Location
  • Organization

The following shows what homepage category-driven content customization looks like when using an Attribute Revision. Click on Manage Homepage Content icon.

Choose an user role, click on the content category and add the content.

On the Attribute Preferences page, you can unselect any of these attributes in order for those not be able to control the homepage category-driven content.

Once you select or unselect any of the attributes, make sure to click on Save at the bottom page to save the changes.

What attributes are available for Row Level Security?

Row Level Security determines which particular Business Users can see what range of new hires. For example, if you limit an HR Specialist to be in charge of only California Operations under Business Unit, that HR Specialist will not be able to process New Hires who are under another Business Unit, such as Florida Operations.

Row Level Security specification is available for four attributes:

  • Company
  • Business Unit
  • Department
  • Location

As a System Administrator, this is seen in inviting a Business User :

On the Attribute Preferences page, under User Security Allowed, select or unselect any of the four attributes.

Scroll down and click on Save.

If User Security allowed is checked for an attribute and saved, the attribute will be marked as required in the invitation and Complete Job Details (CJD).




Also the Invitation, CJD field and the Required fields in Process Attribute Preferences show as checked for that attribute and will not be allowed for unchecking.

Example:- Lets check User Security Allowed for "Department" attribute and save the configuration.




Create a new Process Revision or open an "In Progress" Process Revision. Click on Configure Attribute Preferences link.




For the Department attribute, note that the Invitation, CJD field and the Required fields are checked and in read only mode. The fields are not allowed for unchecking.

On the other way, if a process Revision is open, the system will not allow you to change the User Security Allowed option for attributes on the organization Attribute Preferences page. An error message will be displayed as below if you check/uncheck the check box.




How do you allow an address to show on an attribute's page?

If you want to change a base address, you can create an Attribute Revision and input a different address. However, to either prevent change or the need to use the address, you can hide the address on an attribute's page.

This is allowed for three attributes:

  • Company
  • Location
  • Tax Location Code

Back on the Attribute Preferences page, under Allow Address, select or unselect these attributes.
