What are Text Catalogs?

Text Catalogs are a type of content that can be added to the onboarding system. Text Catalogs allow you to add text or any other content including images that can be viewed by users during their onboarding process. Text Catalogs can also be attached to the homepage. You can add headers, tables, and images to edit the format of the text or use HTML to configure the content on the page. Text Catalogs can be created or modified by System Administrators, Process Administrators or Content Administrators in the onboarding process.    

How do you add a Text Catalog?

To add a Text Catalog, first you need to create a new Content Revision or update an in progress Content Revision.

Click the Menu icon, then click Create Revision under Revisions.




Click on Add a New Value.




Enter the information on the Manage Revision page, with Type being Content, and click Reserve.

Create Content Revision



Click the Configure button.

Configure Revision



Select Add for the content type Text Catalogs.

Content Revision



Enter the text catalog information and click Save.

Maintain Text Catalog



On the Manage Content Revision page, click the Return to Manage Revision button.

Apply the content revision, to complete the process of adding the Text Catalog to the system.




Navigate to Organization Home Page config as System Administrator and add the new text catalog to the New Hire's first time login page.

Click on 'Search'. This will display all the Home Pages. Select initial login page for the New Hire.




Click on 'Edit Content' to update the text.




Click on the look up icon to select the new Content ID.




Select the new text catalog that you have created in the above step.




Click 'OK'.




Save changes in Organization Homepage Configuration.




When the New Hires login, the new welcome page is shown as below:





How do you modify a Text Catalog?

To modify a Text Catalog, you can create a new Content Revision or update an in progress Content Revision.

To create a new Content Revision, follow the same procedure as before. Select Content for Type, a Revision Date for when you want the modification to become effective, a Description, and the Business Process ID.

Click on Reserve.

Click on configure.

Click Review/Update for Text Catalogs.

Click on the Text Catalog that you want to update. Let us select the new Text Catalog that we have created in the above step.

You can also search for the Text Catalog by entering the Content Name or Text ID.

Modify text and save the changes.

Maintain Text Catalog



Click Return on Text Catalogs page.

Return to Content Revision



On the Manage Content Revision page, click the Return to Manage Revision button.

Click on Apply to apply the revision.

Navigate to Organization Home Page config as System Administrator and add the new text catalog to the New Hire's first time login page. if the text catalog has already been added, then there is no need to add it again.

When the New Hires login, the modified text is shown on the welcome page as below:





Which Text Catalogs that are included in the standard product can be modified?

The table below lists some of the delivered Text Catalogs that can be modified.

How do you insert binds into a Text Catalog?

Let's take above example of the Welcome page and insert bind in the place of Organization. 

On the Text Catalog page, place your cursor where you would like to add the bind, and click Insert Binds.  (Note: The process is similar to inserting binds in other places.)

Select the Bind Type.

To select the bind variable, click on 'Look Up'.

Bind Variable Lookup


The Lookup variable page open as below. You can select the variable by expanding the tree structure or using "Search Binds" lookup.

When "Search Binds" lookup is clicked, the search fields display to search for the variable.

Select any operator and enter the text that needs to be searched in the search field. You can use Variable ID or Description fields for searching.

In this case, "Description" field is used for searching the variable "Organization Name". Bind variable matching the search criteria are shown. Click the bind that you would like to include in the text.





Another option is to navigate through the tree structure to find the bind. Click on "Display as Tree" button to navigate back to the tree structure.




Click on Common and select "Organization Name".




Click on 'OK'.

Insert Bind


When you click on 'Highlight Binds', you will see all the binds highlighted in yellow. Continue with any additional changes to the Text Catalog and then save.




Click on 'Return' on the Text Catalogs page.

Return to Content Revision



On the Content Revision page, click Return to Manage Revision to navigate to the Manage Revision page.




Apply the revision.




The run time welcome page shows the bind value of 'Organization' as shown below.




How do you attach a static image to a Text Catalog?

Let's consider adding a static image to the welcome text on the login page. Before adding the image, the login page content shows as below.




Create a new Content Revision or use an in progress Content Revision to modify the Text Catalog of the login page. On the Content Revision page, click on "Review/Update" for Text Catalogs.




Browse through Text IDs or Content Names and select the standard Text Catalog for the login page.




The content details of the login page displays as below.




Place the cursor where you want to add the image and click on "Static Image".




Select the image that you want to add to the login page.




The image adds to the page as shown below. Click on Save.




Return to the Content Revision page. Click on "Return to Manage Revision".




Apply the Content Revision.




Log off to see the changes applied to the login page.




How do you view all of the current Text Catalogs in the system?

Click on the Menu icon, then click Review Content Revision under Revisions.

Click on View for the content type Text Catalogs.




Click Search.

Below the Search Results, you will find the list of all the text catalogs in your system.

You can also see the Text catalog that you have added to the system.
