Security Groups are used to define access for Administrative and Business Users.  The User can only access attributes that are included in Security Groups for which they have been set up.

What is a Security Group?

A Security Group is a list of specific HR attribute values that can be accessed by a UserProduct Related Preferences are used to allow organizations to specify if they do or do not use certain features that are available in the Smart Onboarding product.

Click on an attribute for which you would like the Security Group to have access.

Click Add to add an entry for a new Security Group.

Enter a Description for the Security Group.  Click the lookup icon for Attribute ID.

Select an Attribute value to be included in the Security Group.

Click the Add icon to add another Attribute value for the Security Group.

Repeat the lookup process, selecting a different Attribute value. 

After all values have been added, click Save.

The new Security Group now shows for the Attribute.

You can add the same Security Group to other Attributes, if desired.  You can add as many Security Groups as you would like to any attribute(s).

The system is delivered with a DEFAULT Preference Name.  You can change the default preferences to match the behavior that you would like in your system.

Initially all Properties are "on" - set to a Value of "Yes (True)".  If you do not want to use the feature, change the Value to No (False).

The chart below describes the differences in Behavior when the Properties are set to "Yes" and "No".

  • If set to "Yes", when the New Hire's data has been verified, the HR Specialist can choose to send the New Hire's data to an HR Information System, or skip this update.
  • If set to "No", when the New Hire's data has been verified, the HR data is always sent to an HR Information System.

AllowPayCheckByMail

  • If set to "Yes", the New Hire has the option to receive pay by mail, or direct deposit.
  • If set to "No", the New Hire can only receive pay by direct deposit.

EnableDriversLicenseOnEBI

  • If set to "Yes", the New Hire can enter their driver's license information in Biographic Information.
  • If set to "No", the New Hire cannot enter their driver's license information in Biographic Information.

RelaxDOBValidation

  • If set to "Yes", the New Hire must be at least 15 years of age.
  • If set to "No", the New Hire must be at least 18 years of age.
UseBGCOnInvitation
  • If set to "Yes", the HR Specialist or Recruiter can include Background Check/Pre-screening when creating the New Hire's invitation.
  • If set to "No", Background Check/Pre-screening is never a part of any New Hire's onboarding.
