Attributes are important data elements in the Smart Onboarding system. Smart Onboarding allows users to define their own attributes if necessary in their business process. Attribute Revisions are useful to add/modify existing/delete the attributes as per the requirement, manage authentication events and notifications, add/modify supplemental data to any attribute etc.

Who can create Attribute Revisions?

Users with System Administrator or Process Administrator  roles can create or access Attribute Revisions.

How many Attribute Revisions are allowed at a time?

Only one active Attribute Revision is allowed in an organization at a time. You must either apply or withdraw the current active Attribute Revision before creating a new one. If you attempt to create a new Attribute Revision while another is already active, the following error will be displayed:

How to create a Attribute Revision?

To create an Attribute Revision, click the menu icon in the top left corner of the page and select "Create Revision" under Revisions from the navigation menu. Alternatively, you can choose "Add/Update Revision" from the quick links bar.

Click "Add a New Value" on the Create Revision page.

On the revision page, enter the details and reserve.  This saves the descriptive information and assigns a revision number.

Next, click the "Configure" button to open the Attribute Revision page and configure the attributes.

Add/modify the attributes as necessary and apply the revision to see the desired changes in the system.

How to apply an Attribute Revision?

The changes made in the Attribute Revision will not be available in the system until the revision is applied.

On the Attribute Revision page, click the "Return to Manage Revision" button to return to the main revision page.

On the Manage Revision page, click the "Apply" button.

How do you add or modify an attribute?

Below is the Attribute Revision page, which displays the list of attributes available for configuration.

Select the attribute you wish to configure, and all attributes of that type will be shown in the drop-down menu. These attributes can be organized as a tree structure if your organization opts to do so. When adding an attribute, it is important to note where you want it to be positioned within the tree structure.

When the Administrative User selects an attribute (e.g., "Information Technology"), a row of icons specific to that attribute is displayed. The first two icons, highlighted below, allow you to add a new attribute either as a child or a sibling of the currently selected attribute.

Selecting either "Create Child" or "Create Sibling" will open the Manage Attribute page, where the Administrative User can enter all relevant attribute information and save it.

The newly created attribute will be added to the parent as shown below.

Click "Return to Manage Revision" to return to the main revision page and apply the revision.

How to delete/modify an attribute?

To delete or modify an attribute from the master attribute list, click on the desired attribute. On the right side of the attribute, you will see a list of icons that represent the available functions for that attribute. Clicking the "Manage Attribute" icon will allow you to edit the information for the selected attribute.

The Manage Attribute page allows users to modify the information for the corresponding attribute. To delete an attribute, set its Effective Status to "Inactive" and save the changes to remove it from the master attributes list. Note that if a parent node is set to invalid, all child nodes will also become invalid.

Note: If criteria are set for an attribute in the process revision, the system will not allow changes to that attribute in the attribute revision until the process revision is applied.

How to view Attribute Revision summary?

Any changes/additions made in the Attribute Revision to alter data elements in the system can be viewed in the attribute summary. There are two ways to view Attribute Revision summary.

 1. Click the "Summary" link on the Manage Revision page.

2.  Another option is to click the "View Summary" link in the Revision Information section of the Attribute Revision page.

The Revision Summary page shows as below.

The additions/changes made to the data elements in the revision will show in grids. Expanding these grids will show the sub section with description of the action(s). Further expanding these descriptions will show the audit details. All the details that are audited in the Revision Summary are specific to the revision.

The various possibilities of adding/changing the data elements in the Attribute Revision and the changes reflecting in the Revision Summary is explained with examples below:

Expand the grid to view the details related to the action.

The description of the action shows in the sub section below the grid. Click on the arrow next to the description to open the audit details.
