Text Catalogs

What are Text Catalogs?

Text Catalogs is another type of content that can be added to the onboarding system. They allow you to include text, images, and other content that users can view during their onboarding process. The product comes with some standard Text Catalogs, which can be modified to suit your business needs. You also have the option to add headers, tables, or use HTML to customize the content's format. Text Catalogs are commonly used in areas such as user login pages, welcome pages, and homepages.


Who can create or modify Text catalogs?

Users with System Administrator, Process Administrator, or Content Administrator role can create or modify Text Catalogs.

How do you add a Text Catalog?

To add a Text Catalog, either create a new Content Revision or update an in-progress one.

Click the menu icon in the top left corner of the page, then select "Create Revision" from the Revisions section of the navigation menu.




To create a new revision, click "Add a New Value".




Enter the Content Revision information and click "Reserve".

Add content by clicking the "Configure" button.

Select "Add" for Text Catalogs.

Add text or images as necessary in the Text Catalog information and click "Save".

On the Content Revision page, click the "Return to Manage Revision" button to return to the revision main page.

Apply the content revision, to complete the process of adding the Text Catalog to the system.




Navigate to Organization Home Page config as System Administrator and add the new text catalog to the Home Page. In this example, the text catalog is added to the New Hire's first time login page.

Click "Search" to view the Home Pages available in the system. Select initial login page for the New Hire.




Click the gear icon on the row where the content is to be edited and select "Edit Content".




Click the look up icon for Content ID and select the Text Catalog that was newly created in the previous step. Make sure that the Content Type is set to "Text Catalog".








After adding the content, click "OK".




Save the homepage changes.




When the New Hires log in for the first time, they will see the newly configured welcome page.





How do you modify a Text Catalog?

To modify a Text Catalog, either create a new Content Revision or update an in progress Content Revision.

To create a new Content Revision, enter "Content" as the Type, specify a Revision Date for when the modification should take effect, provide a Description, and include the Business Process ID.

Then, click "Reserve".

Click "Configure" to configure the content changes.

The Content Metrics on the Content Revision page lists all the content types. Click "Review/Update" for Text Catalogs.

Select the Text Catalog that you want to update. In this example, the previously created Text Catalog is selected for updating.

You can also search for the Text Catalog by entering the Content Name or Text ID.

Modify text or include image as needed and save the changes.

Click "Return" to return to the Content Revision page.

Return to Content Revision



On the Content Revision page, click the "Return to Manage Revision" button to return to the revision main page.

Apply the revision to see the changes take effect.

Note: To add this content to any Home page or login page, navigate to Organization Home Page config as the System Administrator and add the new Text Catalog. If the Text Catalog has already been added, there's no need to do it again; the modified content will automatically be displayed to users when accessed.

In this example, the Text Catalog is already added to the New Hire's first-time login page, so the modified content will be shown on the Welcome Page when New Hires log in for the first time.





Which Text Catalogs included in the standard product can be modified?

The table below lists some of the standard Text Catalogs that can be modified.

How do you insert binds into a Text Catalog?

Let's consider the previous Text Catalog used for the Welcome page and replace "Organization" with a bind. 

On the Text Catalog page, place your cursor where you would like to add the bind, and click "Insert Binds".  (Note: The process is similar to inserting binds in other places.)

Select the Bind Type.

To select the bind variable, click "Look Up".

On the lookup page, select the variable by expanding the tree structure or using "Search Binds" lookup.

When "Search Binds" lookup is clicked, the search fields display to search for the variable.

Search Binds





Select any operator and enter the text that needs to be searched in any of the search fields. You can use Variable ID or Description for searching.

In this case, "Description" field is used for searching the variable "Organization Name". Bind variable matching the search criteria is shown. Click on the bind variable.






Another option is to navigate through the tree structure to find the bind. Click the "Display as Tree" button to return to the tree structure.




Navigate through the structure and select "Organization Name".




Click "OK" on the pop-up page.

Insert Bind


You can use the "Highlight Binds" option to view the binds highlighted in yellow. Continue with any additional changes to the Text Catalog and then save.




Click "Return" to return to the Content Revision page.

Return to Content Revision



Click the "Return to Manage Revision" button to return to the revision main page.




Apply the revision.





As configured, the bind value for the "Organization Name" will be shown on the welcome page when accessed.




How do you attach a static image to a Text Catalog?

Consider adding a static image to the welcome text on the login page. Before adding the image, the login page content looks like below.




Create a new Content Revision or use an in progress Content Revision to modify this Text Catalog. On the Content Revision page, click "Review/Update" on the Text Catalogs row.




Browse through Text IDs or Content Names and select the Text Catalog that requires modification. In this case, the Text Catalog for login page is selected.




The content details of the login page will be displayed in the text editor as below.




Place the cursor where you want to add the image and click "Static Image" option.




Select the image that you want to add to the login page.




The image gets added in the text editor. Click "Save".




On the Content Revision page, click "Return to Manage Revision" to return to the revision main page. 




Apply the Content Revision.




Log off to see the changes applied to the login page.




How do you view all of the current Text Catalogs in the system?

Click on the menu icon on the top left corner of the page, and then click "Review Content Revision" under Revisions in the navigation menu.

Simply click "Search" to view all Text Catalogs.
