Authentication Events are used to change the content and presentation of emails that are sent to new hires and users outside of the business process (e.g. actions related to invitations).

What are Authentication Events?

There are 6 standard "Authentication Events" that have associated email notifications.  You can change the emails being sent in these instances to ones that you have created. These emails are sent when an action/event is completed.

Description
When an HR Specialist or Recruiter completes the Resend Login action before the New Hire creates a User ID and password
On Invitation ResendWhen an HR Specialist or Recruiter completes the Resend Login action after the New Hire has created a User ID and password
On Invitation LaunchWhen an HR Specialist or Recruiter Launches the new hire's invitation
On User RelaunchWhen a System Administrator completes the Resend Registration action before the Business User creates a User ID and password (to do this, a Business User must have their Invitation Launched)
On User Resend InviteWhen a System Administrator completes the Resend Registration action after the Business User has created a User ID and password (to do this, a Business User must have their Invitation Launched)
On User LaunchWhen a System Administrator launches the Business User's invitation

How do you change the emails that are related to Authentication Events?

Changing the emails that are related to Authentication Events is a two step process.

  1. Create a Content Revision
    1. Add or modify a Notification Template that is related to an Authentication Event 
    2. Apply the Content Revision
  2. Create a Process Revision
    1. Replace the Notification Template that is associated with an Authentication Event
    2. Manage Content Security
    3. Apply the Process Revision

Step 1 - Create a Content Revision

Please refer to the Content Revisions/Notification Templates section to see how a Notification Template is created.  In this example, you have created a new template called "Resend Invitation" by modifying the delivered template.

Step 2 - Creating a Process Revision

Create a new Process Revision and enter a meaningful description and effective date. 

Reserve and Configure the Process Revision.

On the Process Revision Page, click Edit under Authentication Events.

Click on Lookup for the event that you are modifying.

Select the changed (new) notification template.

Note that the new notification template has been selected.  Click Save.

On the Process Revision page, click Return to Manage Revision.

Click Apply.

The modified Resend Invitation is now sent when a HR Specialist or Recruiter resends an invitation to a New Hire.
