Manage Authentication Events
Authentication Events are used to change the content and presentation of emails that are sent to new hires and users outside of the business process (e.g. actions related to invitations).
What are Authentication Events?
There are 6 standard "Authentication Events" that have associated email notifications. You can change the emails being sent in these instances to ones that you have created. These emails are sent when an action/event is completed.
Notification Event Name | Description |
---|---|
On Invitation Relaunch | When an HR Specialist or Recruiter completes the Resend Welcome action before the New Hire creates a User ID and password |
On Invitation Resend | When an HR Specialist or Recruiter completes the Resend Welcome action after the New Hire has created a User ID and password |
On Invitation Launch | When an HR Specialist or Recruiter Launches the new hire's invitation |
On User Relaunch | When a System Administrator completes the Resend Registration action before the Business User creates a User ID and password (to do this, a Business User must have their Invitation Launched) |
On User Resend Invite | When a System Administrator completes the Resend Registration action after the Business User has created a User ID and password (to do this, a Business User must have their Invitation Launched) |
On User Launch | When a System Administrator launches the Business User's invitation |
Restart of Invitee's first activity | When the HR Admin restarts invitee's process and Electronic Disclosure restarts |
Process Restart | Notification to both Admin and Invitee when the invitee's process restarted |
How do you change the emails that are related to Authentication Events?
Changing the emails that are related to Authentication Events is a two step process.
- Create a Content Revision
- Add or modify a Notification Template that is related to an Authentication Event
- Apply the Content Revision
- Create a Attribute Revision
- Replace the Notification Template that is associated with an Authentication Event
- Apply the Attribute Revision
Step 1 - Create a Content Revision
Please refer to the Content Revisions/Notification Templates section to see how a Notification Template is created.
Step 2 - Creating an Attribute Revision
Create a new Attribute Revision and enter a meaningful description and effective date.
Reserve and Configure the Attribute Revision. On the Attribute Revision Page, click "Authentication Events" link.

Click Notification Template lookup for the event that you are modifying. As an example, here we are going to update Notification Template of tenant users' resend invitation.

The current email template is as shown below.
Now, select the changed or new Notification Template.

Note that the new Notification Template has been selected in the Event Actions page. Click the "Save"button in the bottom of the page.

On the Attribute Revision page, click "Return to Manage Revision" to return to the main revision page.

Apply the revision.

The modified invitation is now sent when the System Administrator resends an invitation to a tenant user.
