  • Sync attributes from ADP.
  • Sync Applicant Onboard templates from ADP and set a default template for the New Hire process.
  • Sync SUI/SDI tax data from ADP.
  • Sync local tax codes.

Who can access the ADP related configurations?

Users with the System Administrator role can access ADP related configurations.

How to access the ADP related configurations?

Click on the menu icon to open the navigation menu on the left. Then, select the "Organization Management" link under the Organization Management section.

On the Organization Management page, click the "ADP Related Configuration" link. Note: This link shows only for ADP integrated organizations.

How do you configure the sections to be displayed on the Complete Job Details page?

In the highlighted Complete Job Details sections below, select the checkboxes for the sections you want to include on the Complete Job Details (CJD) page. While these sections are supported by ADP for New Hire integration, not all fields within them are supported. For more details on Complete Job Details sections, please click here.

How to sync HR setup data from ADP?

In the "Sync HR Setup Data From ADP" section, click the “Sync Now” button. Wait or refresh until the status changes to ‘Success’. This action will sync ADP attributes with Smart Onboarding.

Note: Run this sync process whenever new attribute values are added or existing values are modified in ADP to ensure they remain up to date in Smart Onboarding.

Note: After running the HR setup data sync process, the attribute values for Rate Type – Hourly (H) and Salaried (S) are not automatically created in Smart Onboarding. These values must be manually added using Attribute Revision. (Click here to learn about Attribute Revision)

Refer to the screenshot below for the required values.

Rate Type = Hourly

Rate Type = Salaried

How to configure an applicant onboarding template for the New Hire's process?

The initial step is to sync the Applicant Onboard templates from ADP. Before this, ensure that the template for the New Hire process has been created in ADP with all the necessary configurations. Click the “Get Templates” button under the "Sync Applicant Onboard Templates" section.

This will sync all active templates from ADP to Smart Onboarding, including any custom templates created in ADP.

Select a default template for integrating New Hire data with ADP. Only one template can be set as the default at a time. Once you have selected the desired template, click "Get Template Setup" to copy the template data from ADP.

Note: Setting a default template enables a section at the bottom of the page for syncing SUI/SDI tax data and local tax codes from ADP. For more details, refer to the following section.

Note: If the default template is modified in ADP Workforce, you should sync it again to update the New Hire process. Repeat this step to ensure the onboarding templates remain in sync with ADP.

How to sync SUI/SDI tax data from ADP?

Click the “Sync SUI/SDI Status” button in the "Sync Tax Data From ADP" section to sync the SUI/SDI tax codes for different states.

Note:

  • The "Sync Tax Data From ADP" section appears on the page once a template is selected as the default for the New Hire's onboarding.
  • The sync process must be run whenever new SUI/SDI tax codes are added or existing values are modified in ADP to ensure they remain up to date in Smart Onboarding.

Only SUI/SDI tax codes that are in "Active" status in ADP will be synced to Smart Onboarding.

The total number of SUI/SDI Tax Codes synced will be displayed in the message as shown below. In this example, a total number of "13" SUI/SDI Tax Codes were synced from ADP.

For details on verifying the SUI/SDI Tax Codes in ADP Workforce, please click here.

Login to ADP Workforce and navigate to Setup → Tools → Validation Tables

Under the Payroll sub-section, scroll down to the Tax Jurisdictions section and click the "SUI/SDI Jurisdictions" link.

The page will show the active SUI/SDI Tax Codes available for your company in ADP. The total number of active SUI/SDI Tax Codes is displayed in the bottom right corner of the grid, as shown below.

In this example, there are "13" active SUI/SDI Tax Codes, and only these codes are synced to Smart Onboarding when the “Sync SUI/SDI Status” button is clicked on the ADP Related Configuration page.

To view all the SUI/SDI Tax Codes including the inactive ones, enable the "Show Inactive" button as shown below. In this example, the total number of SUI/SDI tax Codes including the inactive ones are "15" which means the status of the two SDI/SDI Tax Codes is inactive.

Note: The synced SUI/SDI tax data will reflect in the prompt for “SUI/SDI Tax Code” in the Tax Entry section of the Complete Job details (CJD) page. For more details, please click here.
