I-9 Purge is nothing but an automated process of deleting I-9s that are expired. It is available to users in the form of an AE (SI9_PURGE) which can be scheduled to run as a batch process to purge I-9s that have expiry date as current date.

Is I-9 Purge available as a console action?

I-9 Purge cannot be done via any console action. An AE has to run to purge expired I-9 records. This can be scheduled to run everyday automatically.

What transactions are eligible for I-9 Purge?

Transactions to be eligible for purge must satisfy the following conditions :

  • I-9 expiry date = current date
  • all the processes associated with the I-9 must be in Process Completed status

What happens when the purge action is triggered?

When an AE SI9_PURGE is run, I-9s that are eligible for purge will have their I-9 Master data (including attachments uploaded through I-9 Master/I-9 Console and linked invitation transactions) frozen for 30 days. No changes / corrections are allowed on master data in these 30 days when I-9 is in Ready to Purge status. After being in this status for 30 days, this data gets permanently deleted from the master tables.

How to run purge process?

I-9 purge process can be scheduled to run everyday automatically to push I-9s that are eligible for purge to 'Ready to Purge' state.

Navigate to People Tools >> Process Scheduler >> System Process Requests. Click Add a New Value.

Enter a Run Control ID and click Add.

Click RUN to submit the process request.

Select the purge process and click OK (given at the bottom of the page).

You will notice Process Instance number generated for this process.

Navigate to Process Monitor to view the process details. You will notice the process in Queued status when it is running and then changes to Success after it is run successfully.

How do you identify these I-9s in the I-9 Console?

When AE for purge process is run successfully, the I-9s that are eligible for purge will have their status changed to Ready to Purge in the I-9 Console.

Since no actions are allowed on these I-9s, the Info and Actions link do not display for them.

When you check I-9 Master for these records, you will notice the form in display only mode.

The purge status also shows in I-9 Summary as given below.

Can you restore I-9s that are purged?

Once the I-9s are purged, the master data gets permanently deleted and hence it is not possible to restore I-9s. However, the transaction details can be viewed through Invitation Console "View Process" link but not through the I-9 Console.
