What is Smart Onboarding?

Smart Onboarding is a software solution that directs new hires to an online pre-boarding and onboarding process that allows them to enter employee information, payroll, compliance requirements, organization information such as policies, benefits, regulation-specific requirements, as well as completing any other tasks or content which you wish to present.  The software is highly configurable, allowing the solution to accommodate the specific onboarding needs of your organization.

Smart Onboarding Life Cycle
  • Organization activation - Welcome to Smart Onboarding
  • Tailor the system to your organization's needs with system configuration
  • Invite new hires to do their onboarding, which sends an email to the new hire
  • The new hire creates an account in Smart Onboarding and proceeds through a set of online activities that allows your organization to set them up in your Human Resources and Payroll systems
  • The new hire completes onboarding activities
  • Business users optionally participate in background checking, I-9/E-Verify and HR system review activities
  • New hire is on board
  • Post-hire activities

What are users and roletypes?

Users are those who use the Smart Onboarding system.  Users are divided into these categories:

  • Administrative Users
  • Business Users
  • New Hires

Administrative and Business Users can be assigned roletypes.  A roletype controls which functions a user can perform within Smart Onboarding.  A user can be assigned one or more roletypes.  Roletypes are divided into these categories:

  • System Administrator
  • Process Administrator
  • Content Administrator
  • Recruiter
  • HR Specialist
  • I-9 Specialist
  • E-Verify Specialist
  • Help Desk Analyst

There is more information about users and roletypes in this section:  Smart Onboarding Users.

What are HR attributes?

Attributes are basic data elements in the Smart Onboarding system. The values of attributes are used to control access within the system, and can be shown on pages and in emails generated in the system.  You can also define your own attributes that can be used for these purposes.  If Smart Onboarding interfaces to your HR system, the HR attribute values are what are passed to the HR system.

What are revisions?

Revisions are used to modify content and processing in the Smart Onboarding system.  The system is delivered with a small set of activities in place, as well as a number of activities that have content pre-defined, but are not yet active.  You can use revisions to modify the pre-defined content, add new content, and add activities to the onboarding process.
