This option allows users to update the receipts entered in Section 2 with the actual document details. When the actual document is provided by the New Hire for which the receipt was presented, the I-9 Specialist can update the details in List A/List B & List C of Section 2 by initiating receipt update process from I-9 Console/Keyword Search.
Note: Note that this process can be initiated only if receipts are entered in Section 2 and all the processes associated with the I-9 are process completed.
Who can initiate the receipt update process from I-9 Console?
Only I-9 Specialists can initiate the receipt update process from I-9 Console.
How do you access the receipt update action?
Navigate to I-9 Console via Quick links or through the menu link available in the left navigation.
Select any completed transaction with receipts in Section 2 and click on the "Info and Actions" link.
Navigate to Actions tab and select "Initiate Receipt Update" option.
When will the option to update receipts be accessible in the I-9 Console actions?
The option to update receipts (Initiate Receipt Update) will be accessible in the I-9 Console actions if the following conditions are satisfied.
- The process must have been completed by recording the receipt details in Section 2.
- should not have any I-9 additional process in progress
How to complete the receipt update process?
Before navigating to Section 2, the Receipt Update process opens the I-9 Section 2 Correction Reason page as shown below. On this page, select an appropriate reason and E-Verify option.
Choose "Receipt Updates" as the Reason and select "Yes" for Perform E-Verify. Entering the text in Other Notes is optional.
Once you are done entering the details on the Section 2 Reason Page, click on the "Continue" button. This will navigate to the Section 2 activity.
The Section 2 opens in edit mode with previously entered receipt details populated in the fields.
Replace receipts with actual document details.
In the Additional Information enter if any note/comment has to be added.
If an alternative procedure is used for remote verification of documents, indicate this by selecting the "Check here if you used an alternative procedure authorized by DHS to examine documents" checkbox.
If this checkbox is selected, providing I-9 attachments in Section 2 is required if the attachment is not provided by the New Hire in Section 1. For more details on uploading attachments, please click here.
Note: This alternative process is allowed exclusively when the Legal Entity (Company/Business Unit) responsible for the employee's hiring is registered for E-Verify, which means the Company or Business Unit has been configured in the DHS Client Setup. If the legal Entity (Company/Business Unit) is not enrolled in E-Verify, this checkbox will appear disabled.
Note: If Section 2 is assigned to a remote user, and the checkbox indicating "Check here if you used an alternative procedure authorized by DHS to examine documents" is checked by the remote user in Section 2, they must upload supporting documents when completing the Section 2 activity if no attachment is provided in Section 1. The I-9 Specialist need not add the attachment while completing the Section 2 review unless they delete the attachment uploaded by the remote user. In this case, the system will prompt for the attachment during the completion of the Section 2 review.
If the checkbox indicating alternative procedure is selected and the attachment is not provided in Section 2, the page will show the following error message upon saving the Section 2 activity.
Note: Though the checkbox indicating "Check here if you used an alternative procedure authorized by DHS to examine documents" is not checked, you will still be prompted for uploading attachments in Section 2 especially if attachments are configured as mandatory in I-9 activities.
After entering all the details, check "I Agree" and click on "Electronically Sign".
After completing Section 2, the process next navigates to the E-Verify activity. Click on the "Create Case" button and proceed with the E-Verify processing.
How to terminate receipt update process?
Before completing Section 2, you can undo the receipt update by terminating the process using "Undo last Filing" action through I-9 Console. For more details, please click here.
