What is the I-9 Console?

This is a console that allows I-9 Specialists to search and navigate to a New Hire's I-9 information as well as perform specific actions related to the New Hire's onboarding process.

Who has access to the I-9 Console?

Users with I-9 Specialist role are allowed to access the I-9 Console.


When do you use the I-9 Console?

Any time after the I-9 ID is created (after Save in the Complete I-9 activity), the New Hire's I-9 data will show up in the I-9 Console. However, the actions differ depending on where the New Hires are in their process, making the timing of the I-9 Console's use different.

How do you navigate to the I-9 Console?

There are two ways to navigate to the I-9 Console: 


Through the navigation menu on the left

Click the menu icon, then choose the 'I-9 Console' option from the Consoles section in the navigation menu.

What makes up the I-9 Console page?

The I-9 Console page is made up of the following sections :

Search Filter

When there are numerous I-9 IDs in the system, using search filter options can efficiently help you quickly locate a specific I-9 or a set of transactions based on specific criteria. Next to the field, you can adjust the search option to define how your text input should be perceived.

I-9 Form ID
  • Filter by I-9 Form ID
  • Selecting "equal to" will search for the I-9 ID that is exactly what you type in
  • Selecting "contains" will search for any of the Form IDs that has the letter(s) that you enter

I-9 ID

  • Filter by I-9 ID
  • Selecting "equal to" will search for the I-9 ID that is exactly what you type in

  • Selecting "between" will generate an additional search field and allows to search for values that fall between the two entered IDs.
  • Selecting "greater than" will search for I-9 IDs that are greater than what you enter
  • Selecting "greater than or equal to" will search for I-9 IDs that are greater than or equal to what you enter
  • Selecting "less than" will search for I-9 IDs that are less than what you enter
  • Selecting "less than or equal to" will search for I-9 IDs that are less than or equal to what you enter

I-9 Status

  • Filter by the I-9 Status (Active, Inactive, Purged)

  • Selecting "equal to" will search for the I-9s that is exactly what you enter

Name
  • Filter by Name
  • Selecting "begins with" will search for the beginning of the Name for the letter(s) that you enter
  • Selecting "contains" will search for any of the Names that has the letter(s) that you enter
  • Selecting "equal to" will search for the Name that is exactly what you type in

  • Selecting "not equal" will search for the Names that do not match with the letter(s) that you type in

Company

  • Filter by Company
  • Selecting "equal to" will search for the Company that is exactly what you select in the lookup

Citizenship Status
  • Filter by New Hire's Citizenship Status (Citizen, Non-citizen, Noncitizen authorized to work, Permanent Resident)
Work Authorization End Date
  • Filter by New Hire's work authorization end date (WAE)
  • Selecting "equal to" will show you I-9 IDs for New Hires whose WAE matches that specific date
  • Selecting 'Between' will display an additional date field. Click the lookup icons to select the dates. The search will return values that fall between the two selected dates.

  • Selecting "greater than" will show you I-9 IDs for New Hires with a WAE later than that specific date
  • Selecting "greater than or equal to" will show you I-9 IDs for New Hires with a WAE of that date or later
  • Selecting "less than" will show you I-9 IDs for New Hires with a WAE earlier than that specific date
  • Selecting "less than or equal to" will show you I-9 IDs for New Hires with a WAE of that date or earlier
Hire Date
  • Filter by New Hire's hire date
  • Selecting "equal to" will show you I-9 IDs for New Hires whose hire date matches that specific date
  • Selecting "between" will generate another search box
  • Selecting "greater than" will display I-9 IDs for New Hires whose hire date is later than the specified date.
  • Selecting "greater than or equal to" will show I-9 IDs for New Hires whose hire date is on or after the specified date.
  • Selecting "less than" will show I-9 IDs for New Hires whose hire date is earlier than the specified date.
  • Selecting "less than or equal to" will display I-9 IDs for New Hires whose hire date is on or before the specified date.

Termination Date

  • Filter by New Hire's I-9 termination date
  • Selecting "equal to" will show you I-9 IDs for New Hires whose I-9 termination date matches that specific date
  • Selecting 'Between' will display an additional date field. Click the lookup icons to select the dates. The search will return values that fall between the two selected dates.
  • Selecting "greater than" will display I-9 IDs for New Hires whose I-9 termination date is later than the specified date.
  • Selecting "greater than or equal to" will show I-9 IDs for New Hires whose I-9 termination date is on or after the specified date.
  • Selecting "less than" will show I-9 IDs for New Hires whose I-9 termination date is earlier than the specified date.
  • Selecting "less than or equal to" will display I-9 IDs for New Hires whose I-9 termination date is on or before the specified date.
Expiry Date
    • Filter by New Hire's I-9 expiry date
    • Selecting "equal to" will show you I-9 IDs for New Hires whose I-9 expiry date matches that specific date
    • Selecting 'Between' will display an additional date field. Click the lookup icons to select the dates. The search will return values that fall between the two selected dates.
    • Selecting "greater than" will display I-9 IDs for New Hires whose I-9 expiry date is later than the specified date.
    • Selecting "greater than or equal to" will show I-9 IDs for New Hires whose I-9 expiry date is on or after the specified date.
    • Selecting "less than" will show I-9 IDs for New Hires whose I-9 expiry date is earlier than the specified date.
    • Selecting "less than or equal to" will display I-9 IDs for New Hires whose I-9 expiry date is on or before the specified date.



In this example, the search results are filtered by the Hire Date.




Quick Filter

Quick Filter is another way to quickly find I-9 information for a specific search criteria. 




Download Results

If the logged-in user's role includes export permissions, the "Download Results" button will appear in the console. Clicking this button downloads the search results as a CSV file to the user’s local device. If no results are found for the search criteria, the "Download Results" button will not appear in the console.

Note: The "Download Results" button exports results based on the search fields only. Filters applied using the Quick Filter feature do not affect the exported data.





A sample downloaded CSV file is given below. The downloaded CSV file can be opened using any supported application that allows viewing or editing CSV data, such as spreadsheet applications, text editors etc.

When opened in Notepad, the CSV file will display the data in the below format, with headers and values separated by commas. If a search filter was applied, it will appear at the top of the file.




When the file is imported in Excel, it will appear as shown below, with data organized into columns based on the CSV structure.





Search Results

Based on the search criteria selected in the Search Filter/Quick Filter, the I-9 details display in the search results. The data presented will also depend on the security set up for the user accessing the console. Users will only have visibility to the data for which they have been granted access. For example, if the user's access is configured to view only a "Research" Company data, they will only see I-9 data associated with that specific company in the console.

    • New Hire's distinctive ID #
    • Sortable in ascending or descending order of I-9 IDs
    • Clicking on this will pull up the New Hire's I-9 information (I-9 Summary, I-9 Master and I-9 Audit)

Name
    • Includes New Hire's First Name, Middle Name and Last Name
    • Can be sortable in the alphabetical order of the name
I-9 Form ID
    • The New Hire's I-9 Form ID randomly generated by the system. Can be sortable.

I-9 Status
    • The New Hire's I-9 statuses - Active, Inactive or Purge
    • Sortable for different I-9 statuses
Hire Date
    • The New Hire's Start Date
    • Sortable in ascending or descending order of the dates

    • The New Hire's information and Action details

Clicking the "Info and Actions" link will pull up tabs for I-9 information and actions.

The available actions vary based on the I-9 status or whether any additional invitation processes have been initiated. By selecting these options, you can perform the corresponding actions.

Navigating through search results

Search results are shown across multiple pages, with each page displaying 10 rows by default. You can adjust the number of rows per page by selecting a different value from the 'Rows per page' drop-down menu.

To navigate through the search result pages, you can 

    • Use the "Previous" and "Next" buttons
    • Click on a page number tab or select a page from the drop-down menu and click the "Go" button



Using this feature, it is easy to navigate to any page in the search results and review I-9 information for any New Hire.  

For example, you can navigate to page "8" by clicking on the "8" tab. To view I-9 details such as the I-9 summary, I-9 Master, and I-9 Audit, click on the desired I-9 ID link and select the corresponding option. Similarly, view actions for the I-9 by clicking on the 'Info and Actions' link."




Clicking any of the I-9 Console links, except for 'Info and Actions,' will open the corresponding details in a new window, while keeping your search page open in the original window. To view additional information, return to the search page and click the desired console link, which will then open the relevant details in a new window.

In contrast, clicking the 'Info and Actions' link will open a pop-up window within the same search page for viewing I-9 information and performing actions. After performing any actions from the 'Info and Actions' link, the related activity will open in a new window, and the search page will return to the first page.
