The Name Change Correction option will be accessible through the I-9 Console or Keyword Search actions only if Supplement B corrections are enabled in the I-9 Options setup and a previous name change process has been completed for the specific I-9 ID. For enabling Supplement B correction in I-9 Options setup, please refer click here.

Note: This option will be available in the I-9 Console actions or Keyword Search actions in the "Employee I-9 Life Cycle" category only if the I-9 is in active status and all associated processes related to the I-9 are in a completed state.

What is the purpose of the Name Change Correction process?

This process allows updating the details of a previously completed Name Change process. If multiple Name Change processes exist for an I-9 ID, the latest one will be considered for the correction.


How to initiate the Name Change Correction process?

Before starting the Name Change Correction process, you can check the status of the specific transaction in the Reverify console to confirm if a previous name change process has been completed for the I-9.




To search the console, select the Filing Action as "Name Change". Transactions with a Completed Date can be considered for Name Change Correction.

If there are multiple rows for the same I-9 ID or Name with the Filing Action "Name Correction", it indicates that multiple Name Change or Name Change Correction processes have been initiated for that I-9. A stamped Completed Date means the process is finished, while an empty Completed Date signifies that the process is still pending. For pending transactions, you cannot initiate a correction process until the previous process is completed.

Note: Ensure that there are no other pending I-9 processes, such as Section 2 Corrections, reverifications, receipt updates initiated by an I-9 Specialist,  or I-9 Section 1 Correction, reverification, Name Change processes initiated by the New Hire through self-service actions.

If multiple rows exist for an I-9 and you initiate a Name Change Correction process, the details of the most recent Name Change process will be used for the correction.




For the above highlighted Name Change process, consider initiating the correction process. In the I-9 Console, click the "Info and Actions" link for that I-9 ID and select "Name Change Correction" under the Actions tab.







Click "Yes" on the confirmation message.




The latest name change details for that I-9 ID will be opened in the edit mode. Make changes to theses details as necessary and complete the process. For more details on completing this process, please refer the following sections.




The pending Name Change Correction process can also be accessed through the My Tasks console as a "Complete I-9" activity with "Reverification/Name Correction" as the Business Process.




How to terminate the Name Change Correction process?

After initiating the Name Change Correction process, the "Undo Last Filing" option will be available under actions for that I-9. This option can be used to revert the initiated process. 

Navigate to the I-9 Console and click the "Info and Actions" link for the specific transaction. Open the Actions tab and select "Undo Last Filing".

Click 'Yes' on the confirmation message.




Choose "Process Terminate" as the reason, enter your comments on the below page, and then click the "Submit" button.




Confirm by clicking the "OK button.




How do you complete Name Change Correction?

When I-9 Specialists initiate the Name Change process, a pending task labeled "Complete I-9" will appear in the My Tasks console with a new invitation ID. Through this task, I-9 Specialists can access the Supplement B form details which were entered in the earlier Name Change process. 

Enter the employee's updated name in the New Name fields. Entering the First Name and Last Name are mandatory and Middle Initial is optional.

In the Additional Information section, enter any necessary notes or comments. If an alternative procedure was used for remote document verification, select the "Check here if you used an alternative procedure authorized by DHS to examine documents" checkbox. When this checkbox is selected, attaching supporting documents in Supplement B is required.

Note: This alternative process is permitted only if the Legal Entity (Company/Business Unit) responsible for the employee's hiring is registered with E-Verify, meaning it has been configured in the DHS Client Setup. If the Legal Entity is not enrolled in E-Verify, this checkbox will be disabled.

If Supplement B is assigned to a remote user and they check the "Check here if you used an alternative procedure authorized by DHS to examine documents" checkbox, they must upload supporting documents when completing the activity. The I-9 Specialist does not need to add any attachments during the Supplement B review unless they delete the attachment uploaded by the remote user. If the attachment is deleted, the I-9 Specialist must upload a new one during the review. If no attachment is provided, the system will prompt for it by displaying an error message during the Supplement B review.

After entering the details, check "I Agree" and electronically sign.




Note: Even if the "Check here if you used an alternative procedure authorized by DHS to examine documents" checkbox is not checked, you may still be prompted to upload attachments in Supplement B, especially if attachments are configured as mandatory in the I-9 activities.

How do you assign Name Change Correction process to a remote user?

The Name Change Correction process can be assigned to a remote user by clicking the "Assign Remote I-9" button located at the bottom of Supplement B.

What is the difference between initiating Name Change and Name Change Correction?

Once Name Change process is complete, both 'Initiate Name Change' and 'Name Change Correction' options display in the I-9 Console actions (provided Supplement B corrections are enabled in the I-9 Options setup). Both the options allow changing the name details. However, the Name Change process will add another row in Supplement B whereas Name Change Correction will allow editing the prior (latest) details of the Name Change process.
