.Manage Authentication Events v1.3
This area is used to change the contents and presentation of emails that are sent to new hires and users outside of the business process (e.g. actions related to invitations).
What are Authentication Events?
There are 6 standard "Authentication Events" that have associated email notifications. You can change the emails being sent in these instances to ones that you have created. These emails are sent when an action/event is completed.
Notification Event Name | Description |
---|---|
On Invitation Relaunch | When an HR Specialist or Recruiter completes the Resend Login action before the New Hire creates a User ID and password |
On Invitation Resend | When an HR Specialist or Recruiter completes the Resend Login action after the New Hire has created a User ID and password |
On Invitation Launch | When an HR Specialist or Recruiter Launches the new hire's invitation |
On User Relaunch | When a System Administrator completes the Resend Registration action before the Business User creates a User ID and password (to do this, a Business User must have their Invitation Launched) |
On User Resend Invite | When a System Administrator completes the Resend Registration action after the Business User has created a User ID and password (to do this, a Business User must have their Invitation Launched) |
On User Launch | When a System Administrator launches the Business User's invitation |
How do I change the emails that are related to Authentication Events?
2 Step Process
- Create a Content Revision
- Add a Notification Template that is related to an Authentication Event (can be new, or by modifying an existing Notification Template)
- Apply Revision
- Create a Process Revision
- Replace the Notification Template that is associated with an Authentication Event
- Manage Content Security
- Apply Revision
Step 1 - Creating a Content Revision
Please refer to the Content Revisions/Notification Templates section to see how a Notification Template is created. In this example, we have created a new template called "Resend Invitation" by modifying the delivered template.
Step 2 - Creating a Process Revision
To create a Process Revision, click the Menu Icon and select Add/Update Revision under Manage Revisions. Or, click the Add/Update Revision quick link.

Enter the revision description information and Effective Date, then click on Reserve.

Click on Edit in the Manage Authentication Events section.

Click on Lookup for the event that you are modifying.

Select the changed (new) notification template.

Note that the new notification template has been selected. Click on Save.

The modified Resend Invitation is now sent when a HR Specialist or Recruiter resends an invitation to a New Hire.
