What is the E-Verify Console?

The E-Verify Console allows an E-Verify Specialist to search for and access a New Hire's DHS case details when the I-9 is in the E-Verify states. It also allows you to proceed with the verification process if there are further steps pending in E-Verify processing.

Who can access the E-Verify Console?

Users with the E-Verify Specialist role can access the E-Verify Console.

What type of New Hire E-Verify data is displayed under the E-Verify Console?

All I-9 IDs undergoing DHS verification and progressing through the DHS process are displayed in the E-Verify Console. However, the console does not show New Hire I-9 transactions in a deferred state, such as when the E-Verify activity is marked as complete without processing. For example, this can occur when a New Hire is awaiting an SSN or has provided receipt details in Section 2 and is waiting for the actual document to arrive.

Note: If an I-9 ID has multiple case numbers, such as after a restart, where a new case number is generated during DHS verification, only the most recent case details will be displayed in the E-Verify Console.

How do you access the E-Verify Console?

There are two ways to access the E-Verify Console.

Access via the left navigation menu:

Click the menu icon and select "E-Verify Console" under the Consoles section in the navigation menu.

What makes up the E-Verify Console page?

The E-Verify Console page includes sections for the Search Filter, Quick Filter, and the "Download Results" button, which allows downloading the search results. The search results display transactions with DHS case details matching the search criteria. The "Download Results" option is only visible if the logged-in user's role (E-Verify Specialist) is configured to allow data export.

Each section of the E-Verify Console is explained in detail below:

Search Filter

When there are a lot of rows in the E-Verify Console, it is efficient to use search filter to quickly find a specific DHS case or I-9s matching a specific criteria. Next to the field, you can change the search option to specify how you want your text to be perceived.

Case Number
  • Filter by the DHS Case Number. A lookup icon is provided to search through Case Numbers.
  • Selecting "equal to" will search for the Case Number that is exactly what you enter
  • Selecting "between" will generate another search box. Using this option allows you to search for Case Numbers of New Hires that fall within the specified date range.

  • Selecting "Less than" will search for the Case Number that is less than the specified number
I-9 ID
  • Filter by I-9 ID. A lookup icon is available to help search through I-9 records
  • Selecting "equal to" will return results that exactly match the I-9 ID you enter.

  • Selecting "between" will generate an additional search box. Using this option allows you to search for I-9 IDs that fall within the specified range.
  • Selecting "greater than" will display the I-9 IDs for New Hires that are greater than the specified I-9.
  • Selecting "greater than or equal to" will show I-9 IDs for New Hires that are equal to or greater than the specified I-9.
  • Selecting "less than" will display the I-9 IDs for New Hires that are less than the specified I-9.
  • Selecting "less than or equal to" will show I-9 IDs for New Hires that are equal to or less than the specified I-9.
Name
  • Filter by the New Hire's name

  • Selecting "equal to" will search for the name that exactly matches what you type
  • Selecting "contains" will search for names that include the letter(s) you enter
DHS Status
  • Filter by the New Hire's DHS case status 
  • Selecting "equal to" will search for DHS cases with a status that exactly matches the one you select
  • Selecting "not equal to" will search for DHS cases with a status that does not match what you enter.
Citizenship Status
  • Filter by the New Hire's Citizenship Status (Citizen, Non-citizen, Noncitizen authorized to work, Permanent Resident)
Hire Date
  • Filter by the New Hire's hire date
  • Displays start and end dates of the current month as part of the initial load
  • Selecting "equal to" will display New Hires with a hire date that matches the date you enter.
  • Selecting 'Between' will display an additional search field. This option will show New Hires whose Hire Date falls within the specified date range.
  • Selecting "greater than" will display New Hires with a hire date later than the specified date.
  • Selecting "greater than or equal to" will show New Hires with a hire date on or after the specified date.
  • Selecting "less than" will display New Hires with a hire date earlier than the specified date.
  • Selecting "less than or equal to" will show New Hires with a hire date on or before the specified date.


The search fields can be used to filter the search results displaying in the console. In this example, the search results are filtered by the Hire Date.




Quick Filter

Quick Filter is another way to quickly find a specific I-9 or transactions matching specified criteria. 




Download Results

If the logged-in user's role (E-Verify Specialist) is configured for export functionality, they will see the "Download Results" button in the console. Clicking this button allows the user to download the search results as a CSV file to their local computer.

Note: The "Download Results" button is specifically designed to download search results obtained through the search fields. Filtering using the Quick Filter will not restrict the results included in the export.





Note: If no results are found for the search criteria, the "Download Results" button will not appear in the console.

A sample downloaded CSV file is given below. The downloaded CSV file can be opened using any supported application that allows viewing or editing CSV data, such as spreadsheet applications, text editors etc.

When opened in Notepad, the CSV file will display the data in the below format, with headers and values separated by commas. If a search filter was applied, it will appear at the top of the file.




When the file is imported in Excel, it will appear as shown below, with data organized into columns based on the CSV structure.




Search results

Based on the search criteria selected in the Search Filter/Quick Filter, the rows are displayed in the search results. The details of the search results include the following fields:

  • The New Hire's citizenship status specified in I-9 Section 1
Hire Date
  • The New Hire's hire date
SSN
  • The New Hire's Social Security Number
Date of Birth
  • The New Hire's birth date


Navigating through search results

The search results are displayed across pages, with each page containing 10 rows by default. You can change the number of rows displayed per page by selecting a different value from the "Rows per page" drop-down menu.

To navigate through the search result pages, you can:

  • Use the "Previous" and "Next" buttons.
  • Click on the page number tab or select a page from the drop-down menu and click the "Go" button.



This feature makes it easy to navigate to any page in the search results and review E-Verify case details for any New Hire.

For example, to navigate to page "5" of the search results, click on the "5" tab. To view the case details, click on the desired "Case Number" hyperlink. This will open the corresponding details in a new window, while your search page remains open in the previous window. If you need to view case details for another New Hire's process, simply return to your search page and click the respective link, which will also open the relevant details in a new window.




How to view case details from the E-Verify Console?

As an E-Verify Specialist, you can click the Case Number hyperlink for a specific New Hire to view the progress of their E-Verify case. If there are additional steps pending in the E-Verify processing, you can continue with the verification.

To review the specifics of the corresponding case, simply click on the "View Case Details" icon located in the bottom right corner of the E-Verify page. 




The information include the employee's legal entity details (Company or Business Unit), personal information, document particulars, and case status information.

Why multiple case numbers are shown for some I-9 IDs?

The E-Verify Console displays multiple Case Numbers for an I-9 ID when the process undergoes restarts or corrections. The first Case Number corresponds to the primary onboarding process, while the additional Case Numbers are associated with the restart or correction processes.
