Info and Actions


The Info and Actions link in the I-9 Console provides users with access to I-9 related actions specific to that I-9 ID.

How do you access I-9 related actions?

For a selected I-9 ID, click the "Info and Actions" link.

Select the "Actions" tab to view the related I-9 actions. The available options in the actions menu will vary depending on the I-9 status (e.g., active, terminated or purged) or if any additional invitation processes have been initiated. For a detailed explanation of I-9 related actions, please refer to subsequent sections.

How do you perform I-9 Console actions?

The following actions can be performed from the I-9 Console "Info and Actions" link

  • Set/View Employment Termination Date
  • Initiate Reverification
  • Initiate Name Change
  • I-9 Print
  • Initiate Receipt Update
  • Initiate Section 2 Correction
  • Reverification Correction
  • Name Change Correction
  • Undo Last Filing
  • Add Additional/Supporting Documents

Set/View Termination Date

The Set/View Termination Date feature allows employers to set or manage the I-9 termination date for their employees. This action is available in the console only if the associated process is in completed status (including transactions that are force completed). Once the termination date is set, no further actions can be performed on the I-9, except to review the termination date if needed. The termination date can be updated to any future date (but not earlier than the Hire Date) until the termination date is current and the I-9 becomes inactive.

After the Termination Date is set, it can be viewed in the I-9 Master header details.

Note: The I-9 Expiry Date in the I-9 Master is determined by comparing Termination Date + 1 year with Hire Date + 3 years, and the later of these two dates is used. However, if the transaction has a Work Authorization Expiry (WAE) Date, the I-9 Expiry Date will be set to null.

For example, the I-9 Master of a transaction before setting the Termination Date is shown below, where the I-9 Expiry Date is based on the logic of Hire Date + 3 years.

To set the termination date for the above transaction, click the "Info and Actions" link on the corresponding row and select "Set/View Termination Date" option from actions.

Specify the employment termination date and re-enter the date to confirm. Click the "Submit" button.

The following message displays after the termination date is successfully updated.




If the termination date is less than the Hire Date, then the following error message displays on the page.

The updated termination date can be viewed in the Header Details section in the field highlighted below. Also, the I-9 Expiry Date is updated with a value by comparing Termination Date + 1 year with Hire Date + 3 years, and the later of these two dates. In this case, the Terminated Date + 1 year is displayed as it is later/maximum compared to Hire Date + 3 years.





After the termination date is set, the I-9 related actions will not be available for the transaction.

Note: If any additional I-9 process is in progress and termination date is set for that I-9, then the pending I-9 process will get terminated.

The termination date is compared with the current date to make the I-9 status of the transaction as "Inactive". For more details, please click here.

Initiate Reverification

The option to initiate reverification is available for a process completed transaction `only if the following conditions are met:

  • There is no pending additional I-9 process.
  • The Work Authorization Expiry (WAE) date falls within the "Reverification Trigger Days" specified in I-9 Options.
  • The I-9 should not have a termination date set to the current date or in the past.

By default, the Reverification Trigger Days is set to 90 in the I-9 Options, but this can be adjusted as needed.

To initiate the reverification process, click the "Initiate Reverification" option from I-9 Console actions.




The Supplement B activity for reverification opens up to enter the new document details. Additionally, the New Name fields also will open to record name change details if the employee’s name has changed from what was previously recorded on Form I-9. Initiate Name Change 

This console action can be used by the employers if the recorded employee's legal name need changes on the Form I-9. This option is available for a process completed transaction only if the following conditions are met:

  • There is no pending additional I-9 process 
  • The I-9 should not have the termination date set to the current date or in the past.

This action will redirect you to the Supplement B activity where you can input the updated name details of the employee. The name fields will appear blank, while others (document-related and rehire date fields) will be in display mode. 





To complete the activity, enter the employee's new name, select the "I Agree" checkbox and electronically sign.

I-9 Print

The I-9 Print action allows users to print the Form I-9 details. Click the "Info and Actions" link and select the "I-9 Print" option from the Actions tab.

Reverification Correction

This console action allows users to correct the document details of an I-9 ID that were entered during a previous reverification process. For details, please refer Reverification Correction page.

Name Change Correction

This console action allows users to correct the name details of an I-9 ID that were entered during a previous name change process. For details, please refer Name Change Correction page.

Initiate Receipt Update

The "Initiate Receipt Update" option will be available for a process completed transaction only if the following conditions are satisfied.

  • There is no pending additional I-9 process
  • The process must have been completed by recording receipt details in Section 2. 
  • The I-9 should not have a termination date set to the current date or in the past.

As soon as the actual document is provided by the New Hire for which the receipt was presented, the I-9 Specialist can update the details by manually initiating the receipt update process from I-9 Console actions or Keyword Search Employee I-9 Life Cycle related actions.

Initiate Section 2 Correction

This console action is enabled only for the process completed flows that have no receipts. For details, please refer the Initiate Section 2 Correction page.

Undo Last Filing

The "Undo Last Filing" action appears in the I-9 Console actions if an additional I-9 process (such as Name Change, Reverification, Section 2/Section 3 Corrections, Receipt Update, etc.) has been initiated for an I-9 ID. These additional I-9 processes can be initiated through the I-9 Console, or the Keyword Search Employee I-9 Life Cycle actions by I-9 Specialists, or through self-service I-9 actions by the New Hire.

The "Undo Last Filing" action terminates the ongoing process and removes the corresponding row from the Form I-9 Master that was added by that process. A note will be added to the I-9 Summary of the terminated transaction, indicating that the transaction has been terminated and no further actions can be taken. For more details on using this action, please follow the steps below:

To view the process for a transaction with an additional I-9 process initiated, click on the I-9 ID link and select "I-9 Summary".



A popup page opens with all the processes associated with that I-9 ID. Here, you can see an additional I-9 process is initiated for the transaction. 



If you wish to undo the above initiated additional process for the corresponding I-9 ID, click the "Info and Actions" link in the I-9 Console on the row and navigate to the "Actions" tab.



Under the "Actions" tab, click the "Undo Last Filing" action.





Click "OK" on the confirmation message to continue.





A page opens to enter the process termination details. 





Fill in the details and submit the details.



Click "OK" to complete the action.





The status of the terminated process can be viewed in the summary popup page as shown below.

The terminated status will also be updated on the I-9 Summary page of the transaction. Click the "Invitation ID" link of the terminated process to view the I-9 Summary details.



You will notice a note which says that the transaction has been terminated and no further action can be performed.

After termination of the current process, the transaction can have another additional I-9 process initiated through the I-9 Console or Keyword Search. The "Undo Last Filing" can also be performed through the Keyword Search Employee I-9 Life Cycle actions. For more details, please click here.


Few examples of terminating the additional I-9 processes using the "Undo Last Filing action" action are given below:

Reverification:

Consider a transaction with reverification process initiated. For more details on initiating the reverification process, please click here.

When the I-9 Summary is accessed for that transaction in the I-9 Console, you can view the reverification process initiated in the summary popup page as shown below.





You will also notice the "Reverification Status" flag checked on the I-9 Master page for that transaction as shown below:





When the process is in progress, the "Undo Last Filing" action will be available in the Info and Actions under the "Actions" tab. Click on this option to terminate the process.

On the confirmation message, click "Yes" to continue.





Select a reason, enter the comments and click "Submit". 





Click "OK" to confirm. This will terminate the process.





The terminated status of the Reverification process will be displayed on the I-9 Summary popup page for that transaction. To verify the terminated status, click on "View Process" to navigate to the process viewer page.





The process viewer page for the terminated process is shown below. 





When the "Undo Last Filing" action is performed, the "Reverification Status" flag that was checked during the initiation of the Reverification process will be unchecked.

Note: If the transaction was saved with Supplement B details (such as the WAE date) during the Reverification process, those details will be reverted, and the previous information will be retained in the I-9 Master after the "Undo Last Filing" action is completed.





After termination of the current process, the transaction can have another additional I-9 process initiated through the I-9 Console.

I-9 Section 2 Correction

Consider a transaction where the I-9 Section 2 Correction process has been initiated. For more information on how to initiate the I-9 Section 2 Correction, please click here.

When you access the I-9 Summary for that transaction in the I-9 Console, the initiated I-9 Section 2 Correction process will be visible in the summary popup page, as shown below.




When the process is in progress, the "Undo Last Filing" action will be available in the Info and Actions under the "Actions" tab. Click the "Undo Last Filing" action to terminate the process.

When terminating the process using the "Undo Last Filing" action, the system will prompt you to confirm the action. Click "Yes" to proceed.





Select a reason, enter any necessary comments and click "Submit". 





Click on the "OK" button to confirm the action. This will terminate the process.




The terminated status of the I-9 Section 2 Correction process will be displayed in the I-9 Summary popup page for that transaction.

To verify the terminated status, click on "View Process" to navigate to the process viewer page.




The terminated status of the process is displayed on the process viewer page. In this case, the process is terminated after Section 2 is signed but before the E-Verify case is created.

Note: Once the E-Verify case is created, the process cannot be terminated (this applies only to processes that include E-Verify activity).



After the current process is terminated, another additional I-9 process can be initiated for the transaction through the I-9 Console.

Receipt Update

Consider a transaction with the Receipt Update process initiated. For more details on initiating Receipt Update, please click here.

When you access the I-9 Summary for that transaction in the I-9 Console, the Receipt Update process will be visible in the summary popup page.




When the process is in progress, the "Undo Last Filing" action will be available in the Info and Actions under the "Actions" tab.  Click on this option to terminate the process.

When terminating the process using the "Undo Last Filing" action, the system will prompt you to confirm the action. Click "Yes" to proceed.




Select a reason, enter any necessary comments and click "Submit". 




Click on the "OK" button to confirm the action. This will terminate the process.




The terminated status will be displayed on the I-9 Summary popup page for that transaction. Click on "View Process" to navigate to the process viewer page and verify the terminated status.



The terminated status will reflect in the process viewer page for that transaction.

Add Additional/Supporting Documents

This option allows users to add additional/supportive documents to the process. Documents attached through Form I-9 Section 1/Section 2 and via the I-9 Master can also be viewed here.

To view this action, click the "Info and Actions" link for an I-9 ID and navigate to the Actions tab.

I-9 Console



Under the Actions tab, click the "Add Additional/Supporting Documents" option.

Console Actions



This will display all the existing supporting documents that were attached via Form I-9 Section 1/Section 2, I-9 Master and the "Add Additional/Supporting Documents" console action. These documents can be identified by the activity through which they were uploaded, as indicated by the comments displayed under the attachments.

Note: Documents uploaded via Form I-9 Section 1/Section 2 will include the invitation ID in their comments, while documents attached through the "Add Additional/Supporting Documents" console action and the I-9 Master will be marked as manual uploads.

To upload a new attachment, click the "Upload" button.

Click "Choose File" and select the file from your computer.

The file gets attached as shown below. Click the "Upload" button.




The uploaded document shows under attachments. Add comments if you like. Click "Return" to return to the I-9 Console.




How to delete attachments via I-9 Console action:

Only attachments uploaded manually (i.e., those added through the "Add Additional/Supporting Documents" console action and I-9 Master) have the delete option. Attachments uploaded from Form I-9 Section 1 or Section 2 do not have the delete option.

In this example, documents which can be deleted from attachments are highlighted below:




To remove the document from attachments, click "Delete" and confirm "Yes" on the message.





This will remove the document from the attachments page.




For transactions whose DHS Case Status is 'EA Auto Closed' or 'Closed Case', the additional supporting documents also include DHS case details report. A process runs to identify such transactions and generate the report to include in the additional/supporting documents. For details, please click here.




Clicking on the DHS case report link will open the case details page.




How do you print the Audit Report for an I-9?

The I-9 Audit Report displays various fields showing the change history of Form I-9. This includes the business process associated with the invitation, I-9 participants in Section 1/Section 2 and Supplement B, actions performed, Form I-9 data including signatures, and more. There are two methods to access the I-9 Audit Report.

1. Through I-9 Master

Navigate to the I-9 Console and click on the I-9 ID link. The menu will display the links for the I-9 Summary, I-9 Master and I-9 Audit. Click on the "I-9 Master" option.

Click the "Audit Report" icon at the bottom right corner of the I-9 Master page.

2. Through I-9 Summary

Navigate to the I-9 Console and click on any I-9 ID link. The menu will display the links for the I-9 Summary, I-9 Master and I-9 Audit. Click on the "I-9 Summary" option.

Since the I-9 has an additional process initiated for the receipt update, you will see two invitation processes on the popup page. You will not see this page if the I-9 ID has one process associated with it.

Click on any Invitation ID to open the I-9 Summary for the corresponding process.

When the summary page opens, click the "Download Packet" button.

You will notice a zip file downloaded at the bottom of the page. When you open the zip, you will notice two PDFs downloaded. Click on the I-9 Audit pdf.

The Audit Report opens for the chosen I-9 ID.
