I-9 Audit

What is I-9 Audit?

This tool allows users to view changes made to the Form I-9 data across all I-9 activities of a New Hire's process. The audit report is accessible through the I-9 Console.

Who has access to the I-9 Audit?

Users with the I-9 Specialist role can access the I-9 Audit.

How do you access the I-9 Audit?

There are two ways to access the I-9 Audit.

  • Through I-9 Console
  • Through Keyword Search

Through I-9 Console

In the I-9 Console, the I-9 Audit details can be accessed through the I-9 ID link or the I-9 Summary option.

Through the I-9 ID link:

To navigate to the I-9 Console, use the "I-9 Console" link in the navigation menu on the left or select it from the Quick Links bar below the homepage banner.




For a selected new Hire, click on the I-9 ID link.




A drop down is displayed with three options. Select "I-9 Audit" from the list.




The audit page for the selected transaction will be displayed.




Expand the grids for each process to view the sections included.




As a link on the I-9 Summary page:

Another option is via the I-9 Console. Click on the selected I-9 ID, and then choose "I-9 Summary" from the dropdown menu that appears.




If there is only one process associated with the I-9 ID, the I-9 Summary page will open directly. If there are additional processes, a list of invitations along with their business processes will be displayed. Select the appropriate invitation ID to open the summary page for the corresponding process.




To view the audit details from the summary page, click on the "Audit Details" link.




The Audit Report page opens up for the corresponding I-9 ID.




Through Keyword Search 

In the Keyword Search, the I-9 Audit details can be accessed through the Employee I-9 Life Cycle actions or the I-9 Summary page via actions related to the Invitations category.

Through the Employee I-9 Life Cycle actions

The Employee I-9 Life Cycle can be accessed only for the completed processes. Use employee's Last Name, DOB, Last 4 of SSN, Employee Status, Eligibility Type or any other I-9 Life Cycle category related search options in the keyword field.

(Note: You cannot use employee's invitation ID as the search keyword for accessing I-9 Life Cycle.)

Click on the link in the search results.




This opens the Employee I-9 Life Cycle as shown below. Hover on the I-9 ID grid, click on the "..." image and select "Audit Details". 




The audit details for that I-9 ID will be displayed. 




Through Keyword Search I-9 Summary page

To access the I-9 Summary page in Keyword Search, use "Invitations" actions. Search using an Invitation ID or any related keyword. For the selected invitation, click on the "..." icon and choose the "I-9 Summary" option.




The I-9 Summary page displays for the selected invitation. Click on the "Audit Details" link on the I-9 Summary page.




The I-9 Audit page opens up for that I-9 ID. Click on the arrows to expand the grids to view the audit details.




What information is shown in the I-9 Audit page?

The I-9 Audit page contains

  • I-9 Header details
  • Grids for each business process containing the Form I-9 audit details 

I-9 Header details

The I-9 header details include the I-9 ID, I-9 status, name of the candidate, important date fields and the legal entity for the selected I-9 ID. 



Grid for each business process 

Since the I-9 shown has two business processes associated with it, the audit page will contain two grids, each displaying the audit details for one of the processes.




Click on the right arrow to expand and navigate to the Form I-9 Section 1 and  Section 2. details. 




The example below shows Section 1 data for an I-9 Section 1 correction process. It captures and displays both old and new values, along with the effective date and sequence.
